This Privacy Policy explains how we collect, use, store, share, and protect personal information when you use ResumeHelix, including when you create an account, build or edit your Career Memory, chat with Charlie, upload or generate resumes, match experience to job descriptions, or otherwise interact with the service.

It applies to all users of the website and application.

A. Account and contact information — Name, email address, and authentication details when you create an account or sign in.

B. Career Memory and professional content — Information you provide about your work experience, education, certifications, licenses, skills, responsibilities, accomplishments, and supporting details. This includes content you enter manually, upload (e.g., resumes or documents), or refine through conversation with Charlie.

C. Generated and matched content — Resumes, resume versions, core competency themes, fit analyses, and other outputs we create for you based on your Career Memory and job descriptions you supply.

D. Chat and interaction data — Messages you exchange with Charlie (the conversational agent), including prompts, responses, and coaching interactions.

E. Technical and usage data — IP address, browser type, device information, pages visited, feature usage, and log data necessary to operate and secure the service.

F. Payment information (if applicable) — If you subscribe to paid features, payment details are processed by our payment provider. We do not store full payment card numbers.

We do not intentionally collect special categories of sensitive data (e.g., health, biometric, or precise geolocation data) beyond what you choose to include in your Career Memory.

We use the information above for the following purposes: to create, maintain, and improve your Career Memory; to match your experience to job descriptions; to generate tailored resumes and related career materials; to power conversational coaching and guidance through Charlie; to operate, maintain, secure, and improve the ResumeHelix service; to communicate with you about your account, service updates, and (with your consent where required) product information; and to comply with legal obligations and protect against fraud or abuse.

We do not sell your personal information. We do not use your Career Memory or resume content for advertising.

ResumeHelix uses artificial intelligence to help you build Career Memory and generate tailored resumes.

Charlie is our conversational agent. It is powered by Grok (provided by xAI) through the Base44 platform.

When you interact with Charlie or request resume generation, relevant portions of your Career Memory, chat messages, job descriptions, and related content are sent to the AI model to produce the requested response or output.

According to xAI’s publicly stated API terms, xAI does not train its models on API inputs or outputs without explicit permission. By default, API requests and responses are retained for a limited period (currently 30 days) for abuse monitoring and then deleted.

ResumeHelix is built and hosted on the Base44 platform. HIRO BUSINESS MANAGEMENT INC. is a customer of Base44. When you use ResumeHelix, the information you provide (including Career Memory content, chat interactions, uploaded documents, and generated outputs) becomes part of the Customer Data that HIRO provides to Base44.

Under Base44’s Terms of Service, Base44 receives an irrevocable, perpetual license that includes the right to use Customer Data to train its own software tools and artificial intelligence / machine learning models as part of maintaining, providing, and improving its platform. By using ResumeHelix you acknowledge that your information may be used by Base44 for these platform training purposes.

You supply your own experience and information. The Service helps you structure, refine, and match that information. You remain responsible for reviewing and accepting content before using or sharing it.

We use the following categories of service providers to operate ResumeHelix: Base44 (application platform, hosting, and AI routing including the connection to GrokChat); xAI / Grok (large language model inference for Charlie and related features); Cloudflare and similar infrastructure providers (content delivery, security, and performance); payment processors (if you use paid features); and other standard infrastructure and support tools (e.g., email delivery, analytics limited to service improvement).

These providers process data only as necessary to provide their services to us and are bound by contractual obligations. We do not sell or share your Career Memory or resume content with third parties for their own marketing purposes.

Where required by law (including GDPR for users in the EEA/UK), we rely on: performance of a contract (to provide the ResumeHelix service you requested); legitimate interests (to secure and improve the service, prevent abuse, and understand aggregate usage in a privacy-respecting way); consent (where we ask for it, for example certain communications); and legal obligations.

We keep your account and Career Memory data for as long as your account remains active. You may delete individual items or request deletion of your entire account at any time.

After an account deletion request, we will delete or anonymize your personal data within a reasonable period (typically within 30 days), except where we must retain information for legal, security, or backup purposes.

Temporary data sent to AI providers follows the retention practices of those providers (see Section 5).

Depending on your location, you may have the right to: access the personal data we hold about you; correct inaccurate data; delete your data (subject to limited exceptions); export or receive a copy of your Career Memory and resumes; object to or restrict certain processing; and withdraw consent where processing is based on consent.

You can exercise many of these rights directly in the application (for example by editing or deleting Career Memory entries or requesting account deletion). For other requests, email privacy@resumehelix.com. We will respond within the timeframes required by applicable law.

We implement reasonable technical and organizational measures to protect your information, including encryption in transit, access controls, and secure hosting practices. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

ResumeHelix is operated from Canada. Your information may be processed in the United States and other countries by us and our service providers (including Base44 and xAI). Where required, we rely on appropriate safeguards such as Standard Contractual Clauses or other lawful transfer mechanisms.

ResumeHelix is not directed at children under 16 (or the equivalent age of digital consent in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

We use essential cookies and similar technologies necessary for authentication, security, and basic operation of the service. We may also use limited analytics to understand how the service is used so we can improve it. You can control cookies through your browser settings.

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the “Last updated” date. If changes are material, we will provide additional notice (for example by email or in-app notification) as required by law.
